Short answer

Use the official CPHI Milan 2026 exhibitor directory to build a focused shortlist before the event, but do not treat an exhibitor profile as supplier approval. Search by the product, service, market and company type you need; confirm who actually manufactures or owns the offer; prepare specific questions; and carry promising contacts into documented technical, regulatory, quality and commercial evaluation after the meeting.

CPHI Milan will take place from 6 to 8 October 2026 at Fiera Milano, bringing together companies from across pharmaceutical ingredients, finished dosage forms, contract services, bioproduction, packaging, machinery and other parts of the supply chain. The scale creates opportunity, but it also creates a practical problem: collecting dozens of business cards is much easier than identifying a partner that genuinely fits a defined requirement.

This guide is written for pharmaceutical buyers, business-development teams, quality and regulatory professionals, product owners, distributors and licensing teams. It explains how to use the publicly available CPHI information to plan relevant meetings and how to distinguish an interesting exhibition contact from a candidate that deserves further qualification.

CPHI Milan 2026 at a Glance

The official event page reports 62,000 attendees and more than 2,900 exhibiting companies for its 2025 edition. That scale makes advance selection essential. Event details and directory entries can change, so confirm times, passes and appointments on the official CPHI Milan website before travelling.

Define the Partner Before Searching the Exhibitor List

Do not begin with company names. Begin with the business and technical requirement. A broad search for “API supplier” or “CDMO” can produce hundreds of apparent matches, many of which will support the wrong molecule, dosage form, scale, market or stage of development.

Prepare a one-page requirement

The internal team should agree on the following points before requesting meetings:

Question Examples of what to define
What is required? API, finished dosage product, formulation development, commercial manufacturing, dossier, distribution or licensing partner
For which market? EU, United States, United Kingdom, MENA, Latin America, Asia or another defined territory
At what stage and scale? Development, clinical, registration, technology transfer, launch or routine commercial supply
Which evidence is essential? GMP status, CEP, ASMF or DMF support, stability data, dossier format, inspection history or market references
What are the commercial boundaries? Forecast, minimum order quantity, target launch, lead time, territory and preferred partnership model

A useful brief is specific enough to exclude poor matches but short enough to send before a meeting. Sensitive information can remain confidential until an appropriate agreement is in place.

Search the Official CPHI Exhibitor Directory Systematically

The official 2026 exhibitor directory is publicly searchable. It currently provides filters for organization type, country or region, exhibition zone, business activity, markets served, company certification, product categories and service categories. Individual profiles may also display a stand number, company description and selected products or capabilities.

Use several filters together. A company appearing under a relevant zone is only a starting point; the organization type and business activity often reveal whether it describes itself as a manufacturer, distributor, CDMO, CRO, licence holder or service provider.

Your requirement Useful starting filters Likely zone or halls
API manufacturer API zone + API Producer + relevant country, market and product category API: Halls 2, 3 and 4
CDMO or CMO CMO/CDMO + Contract Manufacturer + required service and market Contract manufacturing: Halls 6, 8, 10 and 12
Finished dosage manufacturer Pharmaceutical company + finished dosage product category + target market FDF: Halls 14, 16, 18 and 20
CRO or development service CRO or Contract Service + clinical, analytical or regulatory activity CRO: Hall 8
Packaging or drug-delivery partner Packaging supplier/manufacturer + relevant material, device or service category Packaging and Drug Delivery: Hall 11
Distribution or licensing partner Distributor/Import Export, Licensee or Out-licensing specialist + target territory Search by business activity and market rather than relying on one hall

A directory filter is not verification. A company selecting GMP, FDA, ISO or a target market in its event profile does not prove that the relevant facility, product and activity meet your requirement. Treat the information as a lead supplied for initial screening.

Check each profile beyond the event description

Open the exhibitor profile, record the stand number and then review the company’s own website and appropriate regulatory sources. For a product supplier, establish whether the company manufactures the material, distributes for another manufacturer, holds a dossier, licenses a product or only provides commercial representation.

For API candidates, the distinction between seller and original manufacturer is especially important. The process described in How to Verify an API Supplier: Manufacturer, Supply Chain and Technical Checks can be used to screen promising companies before allocating meeting time.

Turn Search Results into a Meeting Shortlist

A shortlist should record why each company may fit—not simply that it appears in the directory. Compare candidates against the same requirement and classify the next action before sending meeting requests.

Priority Meaning Recommended action
A Strong apparent fit for product, market, scale and partnership type Request a scheduled meeting and send a focused agenda
B Potential fit, but one or more essential points remain unclear Ask a short pre-meeting question before reserving time
C Interesting company without a current defined requirement Visit only if the schedule permits; do not displace priority meetings
Exclude Wrong role, geography, technology, regulatory position or commercial model Record the reason and remove it from the working list

The official Event Planner can be used to bookmark exhibitors, explore sessions and organize a route. Allow travel time between halls and avoid filling every available slot: meetings run late, stands become busy and some of the most useful conversations begin unexpectedly.

Questions to Ask During a CPHI Meeting

An exhibition meeting is normally a qualification conversation, not a final supplier decision. Its purpose is to establish whether both parties should invest in the next stage and exactly which information should be exchanged afterward.

Confirm role and manufacturing responsibility

  • Are you the original manufacturer, product owner, licence holder, distributor or commercial representative?
  • Which legal entity would sign the contract and issue the invoice?
  • Which facility performs manufacturing, testing, packaging and batch release?
  • Are any critical operations outsourced to another site?

Test regulatory and quality fit

  • Which authority last inspected the relevant site, and which activities were within scope?
  • What regulatory documents are available for the product and intended market?
  • Can the company support audits, quality agreements, change notification and ongoing documentation?
  • Which questions require confirmation from quality or regulatory colleagues after the exhibition?

If a candidate progresses, claims should be checked through appropriate authority databases and underlying documents. The second part of the GXgate API series explains how to verify GMP status and regulatory documents.

Establish technical and commercial fit

  • Does the proposed product, technology or service match the specification and development stage?
  • What batch sizes, capacity, lead times and minimum quantities are available?
  • Which markets are already supported with the same product and manufacturing site?
  • What sample, quotation, confidentiality and technical-review steps should follow?

A practical 15-minute meeting structure

Keep the first conversation focused enough to produce a clear next decision.

Minutes 0–3: confirm the requirement and each company’s role
Business fit
Minutes 3–8: discuss manufacturing, technical and market fit
Capability
Minutes 8–12: identify quality, regulatory and supply questions
Evidence
Minutes 12–15: agree documents, owners and a follow-up date
Next step

Warning Signs During Exhibition Meetings

Trade-show conversations are brief and commercially positive by design. That does not make every optimistic statement unreliable, but vague or inconsistent answers should be converted into explicit follow-up questions.

Pause before progressing when:

  • The company presents itself as the manufacturer but will not identify the production site.
  • GMP is described only as “available” without the issuing authority, facility, activity or scope.
  • The representative cannot explain who owns the dossier or who would provide regulatory support.
  • Different representatives give conflicting answers about capacity, lead time or market experience.
  • Price is offered before the specification, volume, quality requirements or delivery terms are understood.
  • The company creates artificial urgency to sign an agreement or pay before reasonable review.

A commercial representative may not know every technical answer. The stronger signal is whether the company records the question, identifies the responsible colleague and provides traceable evidence afterward.

Plan Halls, Sessions and Networking Around Your Objective

The official zone guide groups much of the supply chain by hall. Schedule companies in the same area together where possible, then reserve separate blocks for conference sessions and broader networking.

The conference programme covers topics including manufacturing, supply chain, formulation, biomanufacturing, packaging, technology, market insights, regulation and sustainability. Select sessions that support an active business question; attending every interesting presentation can leave too little time for priority meetings.

CPHI also publishes a networking-event programme showing times, locations and access conditions. Some activities are open to all registered attendees, while others require a particular pass, invitation or separate booking. Reconfirm access in the official programme rather than assuming that every advertised event is included with a standard badge.

After CPHI Milan, Qualification Begins

A successful exhibition meeting ends with a defined next action, not a general promise to remain in contact. Record the company, people, site, product, open questions and agreed documents while the conversation is still fresh. Follow up with a short written summary so both parties can correct misunderstandings.

Separate contacts into four groups: proceed to documented evaluation, request preliminary clarification, retain for a future requirement, or close. This prevents a large collection of unqualified leads from consuming attention after the event.

Potential partner Typical next evidence or action
API supplier Manufacturer and site confirmation, specification, GMP and regulatory documents, sample plan and supply-chain mapping
CDMO or CMO Technical request, capability and capacity review, confidentiality agreement, proposal, quality assessment and site audit strategy
Finished dosage manufacturer Product and dossier status, manufacturing authorization, territories, stability support, supply terms and commercialization responsibilities
Distributor or licensing partner Market coverage, portfolio fit, regulatory role, sales capability, exclusivity expectations, forecast and due diligence

For API candidates that survive desktop review, qualification may continue through a risk-based audit, representative sample testing, CAPA review, quality agreement and formal approval. See How to Qualify an API Supplier: GMP Audit, Sample Testing and Final Approval.

Frequently Asked Questions

Is the CPHI Milan 2026 exhibitor list public?

Yes. CPHI currently provides a public, searchable exhibitor directory with company profiles, stand numbers and filters. The list is updated, so save the live profile link and reconfirm the stand before the event.

Is the CPHI Milan 2026 attendee list public?

No complete attendee list is openly available on the public website. CPHI advertises attendee-directory access inside its app as a paid feature for registered participants. Be cautious with unrelated websites offering downloadable attendee contacts.

Does exhibiting at CPHI prove that a company is qualified?

No. Exhibition confirms participation, not approval for a specific product, site, market or supply chain. Product, manufacturing, quality, regulatory and commercial claims still require proportionate verification.

Should meetings be booked before CPHI Milan?

Yes for priority companies. Send a concise requirement and agenda so the exhibitor can involve the appropriate technical, quality, regulatory or commercial person. Leave some unscheduled time for follow-up visits and new contacts.

Can pharmaceutical partners be found without attending CPHI?

Yes. Exhibitions concentrate meetings into a few days, but partner identification and qualification continue throughout the year. Public company sources, regulatory databases and specialized pharmaceutical directories can be used to develop and assess candidates remotely.

A shorter, well-qualified meeting list usually produces more value than a full diary of loosely relevant introductions.

Use CPHI to Start Better Evaluations

CPHI Milan can compress months of introductions into three days, but the event does not remove the need for structured partner selection. The strongest results come from defining the requirement, using the official directory selectively, asking questions that expose the real operating model and carrying only credible candidates into documented evaluation.

Continue your partner search throughout the year

Search pharmaceutical companies by business area, product, therapeutic field, country and target territory.
